Migrating from a desktop accounting software (i.e. QuickBooks Desktop, Sage 50, etc.) to cloud-based accounting software (i.e. QuickBooks Online, Xero, etc.) can be quite a daunting process. To make the process as simple as possible, we have put together a “How to Import Suppliers, Customers, Products and Services Into QuickBooks Online” guide.

Before you get started on the importing process, you should export all the necessary data from your previous accounting software. If you do not know how to do this, please contact your accounting software customer support.

Importing Vendors/Suppliers Data into QuickBooks Online

  1. Log in to your QuickBooks Online account.
  2. Click on the gear icon on the top right-hand corner of the page.
  3. Under the Tools heading, click on ‘Import Data’.
  4. Click on the Suppliers icon.
  5. Click on the link that says ‘Download a sample file’.
  6. Open the Downloaded sample file and start copying your data from the exported file into the newly downloaded sample file.
    Note: Remember to clear the sample data on the sample file before you start copying your data onto the sample file.
  7. Based on the column headings, copy the data one column at a time to prevent migration errors.
    Note: Remember to save the file as and when you’re copying the data columns to prevent any loss of work.
  8. Repeat step 7 for all relevant columns on the sample file until all required columns are filled.
    Note: The column headings on the sample file might not be the same as the column headings on your exported file. Don’t worry about leaving non-crucial columns blank. The file should still upload properly.
  9. After you’re done copying all the data, navigate back to the QBO ‘Import Supplier’ page.
  10. Select your file by clicking on the browse button and click next when you’re done uploading your sample file.
  11. On the next screen, QBO will require you to map your data. Choose the relevant fields corresponding to the column headings on your uploaded file and click next.
  12. Once you’ve completed the field adjustments, click on ‘import’ and voila, you’re done!

 

Import Customer Data into QuickBooks Online

  1. Log into your QuickBooks Online Account.
  2. Click on the gear icon on the top right-hand corner of the page.
  3. Under the Tools heading, click on ‘Import Data’.
  4. Click on the ‘Customers’ icon.
  5. Click on the link that says ‘Download a sample file’.
  6. Open the Downloaded sample file and start copying your data from the exported file into the newly downloaded sample file.
    Note: Remember to clear the sample data on the sample file before you start copying your data onto the sample file.
